At the outset, establish your credibility.  It is good to write these letters on a formal letter-head.  In the first paragraph, introduce yourself and your organization.  The body of the letter must elaborate on the cause for which you are seeking donation.  It is best to quote how donations in the past have helped in specific cases.  By giving examples of real-life cases you can add authenticity to your cause as well appeal to the reader’s sensibilities.  Briefly explain how you are going to make use of the donation.  When you give a systematic account of all these details, it is sure to impress the reader and the letters can become more effective.

Keep the tone of the letters polite and courteous.  As you are signing off remember to thank the readers for their time and effort in going through your letter.

Condolence letters can be the toughest letters to write, but that should not hold you back from writing them.  In situations that demand it, it is particularly important to do so.  They are a way of paying your respect to the deceased and offer words of solace and comfort to the bereaved family.

Acknowledge the bereft family’s loss without underplaying it.  Only those who have lost their loved ones know what it is like.  It is important to maintain the delicate balance between showing your sympathy and offering them courage to handle the situation.

Begin your letter by offering condolences.  You can mention the special qualities you admired in the deceased.  If possible, recount one or two memorable incidents from the past.  Tell them how much the loss of the person has meant to you.  You can also offer them your help and support in their hour of grief.  Do not indulge in maudlin statements.

It is best to keep the condolence letters short, as a family in bereavement may not have the emotional strength to go through elaborate letters.

The purpose of a complaint letter is to bring your grievance to the notice of the concerned party so that corrective action can be taken wherever possible.  While writing a complaint letter, it is important to address it to the right department.  If the letter does not reach the right people then the purpose is defeated.  Similarly, you must include your contact details as well.

Complaint letters need not be strong worded and rude.  It is more effective to put forth your complaint in a firm yet polite tone.  It is also a good idea to suggest what kind of remedial action you would like the concerned party to take.

State your complaint in a simple and concise manner backing up your case with photocopies of receipts or other relevant documents.  Stick to the facts and avoid sweeping statements deriding everything in general.  Keep the letters to the point and short.

Tact can achieve what sarcasm and rudeness cannot.  So, try and include a couple of positive points as well along with your complaint.  This is sure to act as a balm to the bruised ego and your complaint would be taken in the right spirit.

After a brief salutation, move directly to the purpose of your writing.  State the reason for writing in a simple, direct and effective manner without using any fancy language.  Do not use clichés and exaggerated statements, as your earnestness can be undermined in such circumstances.

Business letters must be divided into short paragraphs, which make for easy reading.  You can repeat your purpose for writing in the closing paragraph.

Letter writing can be divided into formal and informal writing.  All forms of business and official correspondence fall into the first category and all types of personal letters can be classified in the second category.

Whatever be the classification, it is important to have a few answers ready before starting off.  Who is the addressee?  What is the purpose of writing the letter?  What do you hope to achieve by it?  What kind of information do you want to share?  When you know these facts, the task of letter writing can become that much easier.

The format of most letters can be divided into an introduction (the first paragraph), the body of the letter (which can be made up of more than one paragraph) and the conclusion.  The content, format and the form of salutation depend on the kind of letter you are writing.

Request letters are documents highlighting the element of request for something. It is written to inform about the change of information in a document, to request for granting a loan, promotion or refund and to plead for testimonials. Requests are a part of life given the daily hassles we have to face in all the fronts. Without this, our works would have remained either incomplete or substandard. It empowers us to demand explanations for wrongs and to claim justice.

Request letters play a legitimate role in manipulating others for our own interests. Therefore, we become liable to write it correctly and insightfully so that the purpose is served in one go. The first paragraph of the letter should site the reference with respect to which the request is being made. The second paragraph should expand on the requirements so that the request can be processed faster and finally the third paragraph should close the letter by giving the contact information of the writer.

The following points should be borne in mind:

  • The tone of the letter should be self-assured and arresting.
  • The request should be reasonable, direct and clear.
  • It should be succinct yet diplomatic.
  • No thanking-note should be given.
