Dear Mr. John

I am writing this letter to appeal for the attendance on 20th July 2012. I would like to inform you that my attendance was not recorded in the office record on 20th July 2012 as I was out for an official meeting with one of our clients in the company’s central London head office. It was an emergency meeting so I could not inform your office in advance. I am enclosing an official copy of the attendance letter issued from our company’s central London head office. I would request you kindly grant my attendance on 20th July 2012 on the account of the official tour. You will also receive a confirmation letter on this matter from the personal department of our company’s central London head office. I am enclosing a copy of the important developments which took place in the meeting for your kind information.
