Subject: Acknowledgment of receipt of recommendation letter for Mr. Roger Brigance

Dear Ms Williams,

We have received your recommendation letter today regarding Mr. Roger Brigance who has applied for the post of Lecturer of Psychology at our institute, St Joseph’s College. Thank you for taking time to write a few words on the past performance of Mr. Brigance in your institute and his personal character. It has helped us a lot in the selection process and know him a little better. We are happy to know that he was an excellent employee in your institute and appreciate your acknowledgement of that.

Our college has a confidentiality policy and all recommendation letters are kept confidentially in the college records. I would like your permission to keep your letter in the personal files of Mr. Brigance and if not, we will destroy the letter. Please let us know what you want us to do with it. If you do not respond by August 1, 2012, we will use this letter and keep it our institute’s records.
